Global KnowleX Privacy Policy & Use of Cookies

Introduction

In Global KnowleX (GKX) we care about our students, parents/ legal guardians and other cooperation partners’ Personally Identifiable Information (PII).

The purpose of this Privacy Policy is to:

  • Inform you how GKX collects, uses and stores the collected Personally Identifiable Information (PII) and personal documents voluntarily submitted from students, parents/ legal guardians and other cooperation partners

  • Inform you how to get access to the submitted PII about you/ your child, and by request get them deleted

Data Collection and use of collected date

Students: GKX collects PII like your name, date of birth, contact info (address, phone no, email). copy of students and parents passports, birth certificates, school documents, transcripts, graduation papers, year of graduation, area of study, social media links, mental and physical health declarations etc, a photo, a video provided by you, a personal statement, CV, hobbies, resume and answers to specific questions. The PII is used for the purpose of providing the GKX services, for communication in relation to our services incl. approval and preparation for the stay, advice and support for visa/ EU residence in DK, support during the stay etc.

For the purpose of providing its services, GKX may transfer this PII to partners, schools and

other parties involved in the provision of GKX services in Denmark and the students’ home country.

It is voluntary whether students and parents want to share this information with GKX and allow us to hide it and subsequently give permission for internal registration and storage of this data, but without this essential data GKX cannot give the students, parents/ legal guardian and other partners the required service and support before and during the stay in Denmark. In other words will a denial of permission to register PII, and receiving and storage of personal documents mean that GKX must refuse to advise and provide support to the student and the parent/ legal guardian.

Host families/ Private room rental. We storage PII from host families in the following priority:

  • Requests, given by phone, email or contact formular without further agreement: PII will not be stored and contact is not registered.

  • Requests with interest in a future co-operation: Name, town, phone number, email address and short family description: 18 months

  • Applications incl. any criminal record and reference call, no placements: 18 months

  • Applications incl. criminal record and reference calls, one or more placements: five years after completion of the last stay;

Change and/ or info about registered data and summaries. The student, parent/ legal guardian/ host family etc. can at any time contact us with desire or request to change any given data in our registrations of contact info (address, phone no, email address etc.). Summaries of monthly meetings and other confidential talks can be shared with parents/ legal guardians with students’ mutual or written confirmation. The student can at any time ask for a transcript of notes and summaries of monthly meetings etc.

Deletion of data. When the service has been delivered and any outstanding payments have been completed, the student and/ or the parents/ legal guardian can apply for deletion of PII and other documents against signed confirmation from student and parent/ legal guardian that they do not subsequently wish or plan to complain about the service and support provided during the stay. If no individual agreements are made GKX will delete the students PII 5 years after completion of stay in Denmark.

Bookkeeping

According to Danish bookkeeping law invoices and other accounting documents must be stored for min. five years after that the accounting year is closed. This means that we store invoices and similar documents for accounting purposes. This may include general personal information such as name, address, service description.

Job applications We welcome job applications in order to assess whether they match a hiring need in our company.

If you send your job application to us, then our legal basis for processing your personal data is Article 6 (1) of the Data Protection Regulation. 1 liter f.

If you have submitted an unsolicited application, we will immediately assess whether your application is relevant, and then delete your information again if there is no match.

If you have submitted an application for a posted job, then we will discard your application in the event that you are not hired and immediately after the right candidate is found for the job.

If you are part of a recruitment process and / or employed for the job, we will provide you with separate information on how we process your personal information in this connection.

Social media and marketing

In specific cases we use students’ photo, first name, nationality and short description to promote the student on our webpage www.globalknowlex.eu Facebook page and LinkIn to search for private rooms for living and contact families.

Data processors

Few can handle everything themselves, and the same goes for us. We therefore have partners, and use suppliers, some of which may be data processors.

External suppliers can, for example, provide systems for organizing our work, services, consulting, IT hosting or marketing.

  • Study counselors at partner schools (eg upper secondary schools, after-school centers, etc.) to assess suitability for study admission

    • Private room owners who provide rooms and need to approve the students profile for living in his house

    • Network and contact families

It is our responsibility to ensure that your personal information is processed properly. That is why we place high demands on our partners and ask them to take care that your PII is handled safely and protected with care and high responsibility. We share PII via an internal time limited platform, where we choose individually with whom we share documents and for how long. We ask partners and other cooperation partners not to download documents, but cannot give a 100% guarantee that they don’t. In the case that they choose to download them, it is their responsibility to handle the PII according to their Private Policy rules.

Dates are also shared with following webpage contractors: Google Analytics, Google Search Console, AZEhosting.dk (webhotel), Dropbox (backup) og Webbureau.dk (updateservice).

Third country transfers

We basically use data processors in the EU / EEA, or which store data in the EU / EEA.

In some cases this is not possible, and data processors outside the EU / EEA can be used here, if these can provide your personal data with appropriate protection.

Treatment safety

We keep the processing of personal data secure by having put in place appropriate technical and organizational measures.

We have made risk assessments of our processing of personal data, and have subsequently introduced appropriate technical and organizational measures to increase the processing security.

One of our most important measures is to keep our employees updated on GDPR through ongoing awareness training, GDPR courses, as well as by reviewing our GDPR procedures with employees.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
